Unit Rep Meeting Summary

                                                         January, 2011

 Guest speaker, Tricia Pohnert representing “A Community That Cares Auction & Golf Outing” spoke about the event/live auction to be held on Monday, February 21st in the Vistas Dining Room in the SaddleBrooke Clubhouse. The golf outing will be held on Tuesday, February 22nd. Money raised from the event will go to the University of Arizona Foundation Cancer Center. $22K was raised in 2010. Entry forms are available in the HOA#1 golf shop and a flyer will be distributed by both HOA#1 & HOA#2.

 

Vivian Timian, Director of Operations:

  • The Board approved the repair of the rock wall and some road work to be done in Unit 7 in April-May.
  •  “Crack filling” will be done prior to “seal coating” in Units 10, 10A, 18, and 19.
  • “Seal coating” will be done on Ridgeview Blvd. between SaddleBrooke Blvd. and the Catalina starter shack. A new coating will be used called “Fast Set”. It is 50% the cost of the current coating being used and will be monitored to see how it wears.
  • George Sallaberry inquired about the Stoney Cliff erosion problem. Vivian stated the drain areas are being identified and reinforcing will be done.

 

Terri Ayer, HOA#1 BOD Vice President on January Board meeting:

  • Approved the creation of a Communications ad-hoc committee to identify a method to improve communications and decide the need for a permanent committee.
  • Approved Board liaisons, most committee chairpersons, and most committee members and SEIC Board liaison, co-chair, and HOA #1 members.
  • Approved rock wall repairs in Unit #7 at Mountain Sage and High Point Lane at a cost not to exceed $22,800. Funds will come from the Replacement Reserve.
  • Approved re-grassing of the Catalina nine in 2012.
  • Authorized management to “spray out” the necessary areas on the Catalina nine in August, 2011.

 

Scott Devereaux, General Manager:

  • The Association has reached a reciprocal use agreement with SaddleBrooke Ranch – with one year renewals.
  • The contractor for both the Tucson and Catalina regrassing will be Desert Reflections.
  • There are a series of tours scheduled on the next three Mondays for residents interested in “touring” the Tucson nine renovation work.  Terri encouraged non-golfers to go on the tour.
  • There are boards outside the golf shop showing the proposed work to be done on Tucson.
  • Forms are available for resident “feedback” on the proposed work.
  • The #2 pond pump station work is progressing. The pump station will be delivered next week with a completion date scheduled for 2/15-2/18.
  • The consultants will then begin a review of the work to be done on #13 pump station.
  • The rock work on the #2 pond has been postponed. The work will need to eventually be done to prevent erosion and control sediment into the pond.
  • On F&B:
    • There was a F&B consultant here last week and will be offering ideas for improvement to our F&B operation
    • There was a loss in F&B last year of  $156K – about half of the loss in previous years.
    • Chef Dave will be doing cooking demos.
    • Jim Luke, Unit 18 suggested a meeting with residents and the HOA staff on the findings of the consultant.
  • The HUD form that was mailed with the HOA dues notices has resulted in less than 70% returned. Residents are strongly encouraged to sign and return the form as it is needed to maintain our aged-restricted status.
  • The Association ended the year on a good financial basis. There will be an o/s audit in February. The results will be presented at the annual HOA#1 meeting in April.
  • There was a two hour meeting between HOA#1 and HOA#2 General Managers and Board Officers with the focus on working together on issues.
  • The HOA will select new software and do a major software conversion this year.
  • Money is budgeted for a community-wide survey this year (similar to the one in 2006).

 

Roger Swett, HOA#2 VP:

  • HOA#2 building annex has not started due to contractual issues and is app. one month behind schedule.
  • The Arts & Crafts building does not have sprinklers installed. There was not a requirement at the time of construction, but must now have sprinklers installed.
  • The Preserve restaurant is open. RCI funded the renovations.
  • Solar lighting will be installed at the gate at Edwin Road.
  • A fitness center/community survey will be sent out in the near future.

 

Open forum/Unit Issues:

1.      Jim Luke asked if the cart path markers were going to be repainted. Scott will check, but the consensus was that the markers on the sprinkler heads and others currently in place are sufficient.

2.      George Sallaberry discussed the fact that residents have been patient with the “cart path only” restriction on SaddleBrooke and asked if the same problem was going to surface on Tucson after renovations. Answer: Scott could not predict at this time.

3.      George also inquired about the “illegal drop zone” on #2 and when will it be corrected. Scott to investigate.
